Dear exhibitors, We’re delighted to welcome you to the Ljubljana Coffee Festival on September 20–21, 2025. Please read these key guidelines to ensure a smooth and successful experience.

FESTIVAL ENTRY & ACCREDITATION

LOCATION
Ljubljana City Museum, Gosposka 15, 1000 Ljubljana

ENTRY (ACREDITATION)
Pick up your accreditation at the Info Point, situated at the entrance of the Ljubljana City Museum. Accreditation is required for access to the festival and your stand.

IMPORTANT NOTICE
On Friday, September 19th, from 9:30 am to 6:00 pm, we kindly request that you refrain from leaving any items in the museum lobby (ROASTER VILLAGE area) to facilitate the smooth operation of the Ljubljana City Museum on that day. Please manage all waste produced during assembly and disassembly on your own.

ASSEMBLY & DISASSEMBLY

VEHICLE ACCESS

  • DELIVERY ACCES:
    Friday, September 19, 06:00 am – 10:00 am
  • PICK UP:
    Sunday, September 21, 06:00 pm – 11:00 pm
    Monday, September 22, 07:00 am –10:00 am
  • All vehicles must leave immediately after
    loading/unloading. Vehicle parking is not allowed in the area.

     

  • Access to the festival venue by vehicle is permitted only with prior notification on the day of delivery and pick-up by calling +386 70 609 596.

INSTALLATION OF EXHIBITION STANDS

  • Friday, September 19: 06:00 am – 10:00 am or
    06:00 pm – 10:00 pm
  • On this day, at this time, setup can be conducted in all festival areas. All rough and noisy activities are allowed during this period.
  • Friday, September 19: 10:00 am – 06:00 pm
  • During this period, setup will be permitted, which encompasses minor and quieter tasks in the INDUSTRY ZONE. No equipment setup is permitted in the ROASTER VILLAGE area during this time.

     

  • Saturday, September 21:
    08:00 am – 09:30 am

REMOVAL OF EXHIBITION STANDS

  • Sunday, September 21:
    06:30 pm – 11:00 pm
  • Monday, September 22:
    07:00 am – 10:00 am
  • All stands and equipment must be removed by the deadline. Exhibitors are responsible for their own waste removal.

DURING THE FESTIVAL

OPENING HOURS

  • Saturday, September 20:
    10:00 am – 06:00 pm
  • Sunday, September 21:
    10:00 am – 06:00 pm
  • Exhibitors may enter from 08:00

ACCREDITATION

  • Required for access to all festival areas except THE LAB, PANEL FORUM on September 21, 17:00–18:00 (special ticket needed for entry at that time).

ELECTRICITY

  • Stands A01–A12 in Roasters Village & Slovenian Roasters Place: normal 1500W, with additional purchase max 3500W total
  • Other stands: power by arrangement

WATER

  • No direct water at A01–A12; use manual fill or BRITA station at BRITA stand.
  • Other stands must arrange their own water (canisters). 

WASTE DISPOSAL

  • General waste bins are provided (for small waste only).
  • Exhibitors must remove larger waste themselves.

TECHNICAL SUPPORT

  • Available throughout the festival (see key contacts).

PARKING

There is no dedicated parking at the venue. Delivery vehicle may only enter for unloading / loading.

  • Šumi Parking Garage, Slovenska cesta 16 (map)–5 min walk
  • Kongresni trg Garage, Kongresni trg 1 (map)–6 min walk
